Is the Team plan really free?
Yes. A single team with up to 25 athletes uses ClubAdmins free — no card, no trial clock. ClubAdmins earns a small processing fee when you collect payments online, so the free plan stays free.
What do online payments cost?
Two parts, always shown up front. Standard card processing (~2.9% + 30¢) is passed straight through to the processor. On top of that, ClubAdmins charges a small platform fee on club dues and charges that drops as your plan grows — 3% on Team, 2% on Club, 1.5% on Pro, and 1% on Elite. Your club chooses whether to absorb the fees or pass them through at checkout.
What percentage do you take from fundraising and donations?
A platform fee that shrinks as your plan grows: 5% on Team, 4% on Club, 3% on Pro, and 2% on Elite, plus standard card processing. Donors can opt to cover the fees at checkout — most do — so your club keeps effectively the full donation. For comparison, full-service fundraising companies keep around 20% of what your athletes raise.
Does ClubAdmins work for school sports?
Yes. A single school squad fits the free Team plan, a school program fits Club, an athletic department running multiple sports fits Pro, and districts or academies run on Elite — same tools, same app for coaches, athletic directors, and families.
How do the websites work?
The Club plan includes a branded club website at a clubadmins.com address (yourclub.clubadmins.com) — open tryouts, teams seeking players, and fundraising built in. Pro adds a website for every team in your organization, with its schedule and roster, plus your own custom domain (host the site at yourclub.com). Elite makes the club and team sites fully white-label.
Do parents and athletes pay anything?
The app is free for parents and athletes, always. Plans are priced for the organization. If your club passes the payment processing fee through at registration, it’s disclosed up front before checkout.
What happens when we outgrow a cap?
Nothing breaks. When you approach an athlete, team, or storage cap we’ll prompt you to upgrade — your data and season keep running, and upgrades are prorated.
What happens to our data if we leave?
It’s yours. Export rosters, schedules, evaluations, and financial history any time as CSV.

Yes. The Team plan is free forever: one team, up to 25 athletes, 2 staff accounts, with rosters, scheduling, messaging, registration, dues collection, and fundraising included.
What are the payment and fundraising fees?
Each tier has a platform fee on top of Stripe’s processing: Team 5% fundraising / 3% dues, Club 4% / 2%, Pro 3% / 1.5%, and Elite the lowest at 2% / 1%. Upgrading pays for itself for clubs that move real money.
What’s the difference between monthly and annual billing?
Club and Pro save by prepaying: Club is $29/mo billed annually ($349/yr) versus $39.99 month-to-month, and Pro is $79/mo billed annually ($949.99/yr) versus $99.99 month-to-month — roughly 20–27% off. Elite bills quarterly instead of annually, at $599.99/quarter (about $200/mo) versus $249.99 month-to-month.
Can we change plans mid-season?
Yes — tiers upgrade as your club grows, and athlete, team, and league caps expand with each step: 25 athletes on Team, up to 300 athletes and 20 teams on Club, up to 1,000 athletes and 10 leagues on Pro, and unlimited on Elite.
